Terms and Conditions
1. Time and place
The contract applies to exhibitions produced by Offshore Media Group AS with the facilities rented and used for the event. In case of force majeure or other incidents, Offshore Media Group AS or cooperating partners may postpone or cancel the exhibition. Exhibitors may have the rental cost refunded, but is not entitled to further compensation. In case of cancellation, the refund includes stand rental except fixed administration costs.
2. Allocation of stand area
The event organiser will attempt best possible coordination of the exhibition. The organiser claims the right to approve all elements for use at the exhibition. Exhibitors will receive confirmation at the stand area immediately after closing of the stand-reservations. The organiser claims the right to abort registration and/or reduce/increase previously announced stand area if the exhibition is fully reserved before deadline. The stand area is allocated for best possible use considering each different product group. Subletting of stand area prohibited.
3. Registration
No registration is valid until signed contract/application form is completed. The registration is binding and the exhibitor is responsible for 50 % of the total stand rental cost if one cancels two (2) months prior to the exhibition. After this date, the exhibitor is responsible for 100 % of the stand rental cost. Registration fee is non-refundable.
4. Terms of payments and fees
The payment for stand registration fee, stand rental, sponsorships and various services will be invoiced separately. Payment is due 30 days after invoice date (unless otherwise arranged). Norwegian VAT will be added to the fees shown. Delayed payments will lead to reminders, each adding 10 % interest rate and NOK 50,- (excl. VAT) administration fee.
5. VAT - value added tax
Foreign businesses can on application obtain refunds of value added tax paid on purchases of goods and services in Norway or on imports of goods into Norway. For more information check Skatteetaten.no
6. Non-payment
Non-payment may lead to cancellation of allocated stand area. The organiser may use this area as if cancellation applies (please see pt. 3). The stand area is for registered, paying exhibitors only.
7. Return of stand area
Stand area must, in due time, be returned after the exhibition in the same condition as upon arrival, without signs of decorations, tape, foundation, garbage or otherwise. If not, the organiser may clean the area at the exhibitor's expense.
8. Decorations
All exhibitors may use their own decorator. The organiser claims the right to approve the stand prior to the exhibition.
9. Rental of stand material
The organiser can provide contact with the lessors of stand material.
10. Insurance
Exhibitors need an insurance policy to cover all types of damages possible to occur during transportation from exhibitor's warehouse, office, pier or similar before and after the exhibition. The organiser accepts no responsibility for exhibitor's goods and equipment during the exhibition. Exhibitors are responsible for insuring against any damage.
11. Power
The organiser will provide normal lighting and one power source in the stand area. Additional power, power plugs, wires etc can be provided at a cost, and must be ordered through the organiser and their selected suppliers. Extra power connection and stretching of cables must be performed only by suppliers approved by the organiser. Any additional cost is to be covered by the exhibitor. Link or sharing of power is strictly prohibited.
12. Safety and cleaning
The organiser is responsible for safety from day 1 of the exhibition's preparation and through the entire exhibition, but does not bear any responsibility for exhibitor's goods, equipment or third party property. Exhibitors are responsible for all necessary insurance policies. The organiser will provide cleaning of common stand area, including garbage disposal both inside and outside the common stand area. Cleaning of outdoor stand is the responsibility of the exhibitor.
13. Responsibility
The exhibitor is responsible for all damages, and/or damages to plant or inventory, caused by his employees, volunteers and random helpers. The floor must be protected against oil spill, paint and chemicals. The floor may be covered by carpets, linoleum, vinyl etc, but painting the floor or fixing materials to the floor with adhesives, staples or drilling is prohibited. No changes to the exhibitions plant, inventory or other property is allowed. Bolting to floor, walls, ceiling or columns is prohibited and exhibitor bears responsibility for additional costs in such cases.
14. Public areas
Exhibitors must meet standards and special regulations from the organiser, the police and fire department.
15. Demonstrations etc.
Presentations and demonstrations causing noise or disturbance for others must be agreed prior to the exhibition. If problems occur, the organiser has the right to end the demonstration or shorten the period of time for the demonstration. Turnover must not take place without the written consent of the organiser. Distribution of food must be approved by Food Safety Authority (Mattilsynet) of Oslo.
16. Delivery
All supplies, equipment etc must be delivered to the stand no more than 30 minutes before the opening of the exhibition.
17. Sharing of a stand area
If several companies share a stand, all the companies must be registered as paying exhibitors. Only the main exhibitor is listed on the stand sign. Additional signs for the other participating companies must be agreed with the organiser.
18. Force majeure etc.
If the exhibition must be cancelled due to force majeure, fire, flood etc, no party is liable to each other. The organiser cannot claim compensation from the exhibitor except for the rent. Circumstances beyond control of the organiser, such as stopping delivery of electricity, water, heating, telephone or communication networks etc, the exhibitor is not entitled to claim compensation or refund of rent.
19. Differences
Any disputes that may arise between organiser and exhibitor related to the exhibition or event will be forwarded to the arbitrator appointed by the Bergen County Court for decision-making.
